Microsoft 365 Copilot for Small Business: Is It Worth $30 Per User?
Copilot costs more than most small businesses' entire M365 license. Here's who actually gets $30/user/month of value out of it — and who should skip it for now.

Microsoft 365 Copilot costs about $30 per user per month — often more than the underlying Business Standard license itself. So the question every Omaha business owner asks us is fair: is it actually worth it?
Here's our honest answer, based on the deployments we've worked on: for some roles, absolutely; for whole companies, rarely.
Where Copilot Genuinely Pays for Itself
- Email-heavy roles. Summarizing long threads, drafting replies in your tone, and catching commitments buried in message 23 of 40. If someone spends 2+ hours a day in Outlook, they're the most likely to get their money's worth — have them log the time they actually save for two weeks and weigh it against the $30.
- Meeting-heavy roles. Teams meeting recaps with action items and who-said-what are Copilot's single best feature. Managers stop taking notes and start participating.
- Document production. First drafts of proposals, reports, and presentations from a prompt plus your existing files. The output needs editing — but editing beats staring at a blank page.
Where It Disappoints
- Excel. Useful for formula help and quick analysis, but it's not replacing your bookkeeper or a real BI tool.
- Light computer users. Someone who sends five emails a day and lives in a line-of-business app will never recoup $30/month.
- Messy tenants. Copilot searches everything a user can access. If your SharePoint permissions are chaos, Copilot will happily surface the salary spreadsheet nobody realized was shared with "Everyone."
The Permission Problem (Read This Before Buying)
This is the part most vendors skip: Copilot inherits your existing Microsoft 365 permissions. Before enabling it, you should audit sharing links, "Everyone" groups, and stale access. We can run this audit before you turn Copilot on, and it is worth doing — over-shared links and stale "Everyone" access build up quietly in any tenant that has been running a few years.
Our Recommendation for Omaha SMBs
- Don't license everyone. Start with 3–5 seats for your most email- and meeting-heavy people.
- Fix permissions first. One-time cleanup, permanent benefit — Copilot or not.
- Measure for 60 days. Ask pilot users to log time saved. Keep the seats that pay for themselves; cut the ones that don't.
Bottom Line
Copilot is worth $30/user for a subset of any office — the people who live in email, meetings, and documents. Licensing the whole company on day one is how you end up resenting the bill.
