Understanding Managed IT Billing: A Guide for Omaha Small Businesses

For many small business owners in Omaha, the transition from "break-fix" IT support to a managed service provider (MSP) model represents a major shift in how operational expenses are managed. At DME Computer Services, we believe that transparency is essential. When you are evaluating IT support, understanding how billing works—and why it is structured the way it is—can help you manage your budget more effectively.

What Is a Billable Unit?

In the managed IT industry, firms typically use a standard unit of measure to determine monthly service costs. At DME, we define a billable unit as either the count of client users or the count of computers, whichever number is higher. This model ensures that both the people and the hardware that require support and management are accounted for in your monthly plan.

Why is it calculated this way? An office with ten staff members but thirty computers has a different support footprint than a ten-person office with only ten computers. By basing costs on the higher of these two counts, we provide a consistent structure that scales alongside your business growth.

The Two Paths: Basic vs. Full Plans

Once you have identified your billable unit count, you can choose the plan that best aligns with your business needs. It is important to note that what is covered varies significantly between our offerings:

Every Plan Includes

  • Endpoint detection and response (EDR)
  • Ransomware protection
  • Patch management
  • 24/7 device monitoring
  • Backup monitoring

Full Plan Only

The Full plan is designed for businesses that want a predictable, all-inclusive approach to their managed IT services in Omaha. This plan includes:

  • Help desk support (no hourly billing)
  • Microsoft 365 administration
  • Email security
  • Managed ITDR (Identity Threat Detection and Response)
  • Network and firewall management
  • Vendor coordination
  • Quarterly IT reviews

If you are on our Basic plan, hands-on support is billed at $129 per hour, with costs always quoted before any work begins. This allows you to control costs based on the specific support tickets you submit.

Understanding Infrastructure Costs

Beyond the primary billable units, some infrastructure components require specific care. For instance, managed servers are priced at $199 per server, per month. For data protection, we provide backup monitoring to ensure your jobs are running as expected. Our server cloud backup service is available at $17 per TB per month. Please note: we monitor these jobs, but as a business owner, you remain responsible for testing your own restores to ensure your recovery strategy meets your internal requirements.

Additional Services

Not every requirement fits into a standard monthly bucket. Certain services, such as Multi-Factor Authentication (MFA) configuration, are handled as initial setup work during onboarding. Furthermore, security awareness training and specialized projects—including AI implementation or HIPAA compliance scoping—are quoted individually. We do not use a standard rate card for these specialized areas because every business has a unique environment.
